About the Position:
Reporting to the Director, Lease Administration, the Lease Administrator plays a critical role in managing lease documentation, onboarding new properties, and maintaining accurate tenant data in Yardi. This position ensures the integrity of key leasing information, including rent rolls, recovery methods, and lease terms, while providing essential support to the leasing, operations, and accounting teams. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to analyze lease agreements to optimize financial and operational efficiencies.
This is a Permanent, Full-Time position (37.5 hours per week), located in Toronto.
Key Responsibilities:
- Abstract key clauses from a lease pertaining to all new and existing leases.
- Update the leasing system (Yardi) with lease modifications, including new rental structures and lease changes.
- Set up new leases on Yardi based on lease agreements, ensuring alignment with budgeted rates in collaboration with accounting.
- Set up renewals, assignments, and terminations for any lease in Yardi.
- Coordinate with Operations and Construction to review and update key lease dates, including, but not limited to, Tenant Possession Date, Rent Commencement Date, and Move-out Date.
- Add units, change areas based on area certificate, update property GL with most accurate and recent information.
- Assist in preparing lease summaries and auditing existing properties, acquisitions, and dispositions.
- Support drafting of lease amendments, estoppel certificates, surrender agreements, and related documents.
- Maintain the Yardi database and ensure the integrity of the data to accurately reflect the company’s lease commitments and financial obligations.
- Analyze expenses for potential cost savings or recoveries related to common area maintenance, property taxes, and occupancy costs.
- Provide ongoing support and expertise to regional and property managers relating to lease interpretation and tenant queries resolving outstanding or contentious issues to the benefit of the Company
- Process ad hoc requests from various departments as needed.
- Other duties as assigned.
Job Requirements:
Education & Experience:
- Post-secondary degree in finance, business administration or in a related field is required.
- 5 – 7 years of experience working in Lease Administration, preferably in a retail or commercial real estate environment is required.
- Proficiency in reading and understanding commercial leases.
- Proficiency in Yardi Property Management Software.
- Strong analytical skills are required.
- Possess a facility with numbers, accounting statements, accounting spreadsheets and audit principles.
- A professional demeanor and presentation, coupled with strong communication skills, both written and verbal.
- Ability to take initiative and to work independently as well as on a team.
- Ability to work in a fast-paced, high performance and results-driven environment.
- Flexible and adaptable to constantly changing needs within the organization.
- Strong computer skills including Microsoft Office (Excel, Word) and proficient working with Yardi.

This is a Full-Time position, requiring the ability to work 37.5 hours per week.
